How to Set Up and Manage Your Finance Contact

Your Finance Contact is the email address (or shared mailbox) that receives invoices for a specific Billing Group. It is not a login or a platform account — it’s simply where Remote People sends billing communications for that group.

A Finance Contact can be:

  • An individual’s email address

  • A shared team mailbox (e.g., ap@yourcompany.com)

  • Multiple recipients at once

It does not need to belong to someone with platform access.

Finance Contact vs. the “Finance” user permission — these are two different things

  • Finance Contact (this article): an email address that receives invoices for a billing group. Not a platform login.

  • “Finance” user permission: shorthand for a Manager user with the Manage Billing permission enabled. That person can log in and view payroll reports and invoices inside the platform.

Assigning someone the Manager + Manage Billing permission does not automatically make them your Finance Contact, and vice versa. If you want the same person to both receive invoice emails and be able to log in and review them, you’ll need to set both separately — one as a user role (Settings → Users and Roles), the other as the Finance Contact on your billing group (steps below).

How to add or update your Finance Contact

Log in as an Admin and go to Settings → Billing → Billing Group tab. Select the billing group you want to update.

Click View, then Edit to open the Finance Contact settings. Note: if your company has more than one billing group (e.g. split by department or region), each has its own Finance Contact — updating one does not update the others.

Enter the email address in the Finance Contact field. To add more than one recipient, press Enter after each address. Click Save when done.

Best practices

  • Use a shared mailbox rather than a personal email address where possible (e.g. a finance or AP team inbox). This ensures invoices keep flowing even if the individual who set it up leaves your company.

  • Review your Finance Contact whenever your finance or AP team changes, and at least once every six months as a routine check.

  • If you have multiple billing groups, check all of them — it’s a common gap to update one and assume the rest are covered.
