Admins and managers can book time off directly on behalf of employees on their team without the employee needing to submit a request themselves. This is useful when recording leave that has already been agreed, or when an employee is unable to submit it themselves.
Where to book time off
You can start a booking from two places:
Time Off page: select the employee from your team list and choose the relevant leave policy and dates.
Employee’s Profile page: navigate to the employee’s profile and use the Time Off section to book leave on their behalf.
Who can you book for?
The employee list shown when booking time off is scoped to your team — the same people visible to you in the People tab. This includes both EOR and Global Payroll (GP) employees. You will only see employees within your management scope.
How to book time off
Select the employee you want to book leave for.
Choose the leave type (e.g. annual leave, sick leave) and the applicable leave policy.
Select the start and end dates.
Review the details and confirm the booking.
How bookings are approved
Time off booked by an admin or manager is automatically approved upon confirmation. This means the leave is recorded immediately, it does not go through the regular employee request and approval flow.
Because bookings are auto-approved, they are recorded as confirmed leave rather than pending requests. The standard approval policy does not apply when an admin or manager books on behalf of an employee.
Audit trail
The admin or manager who made the booking appears as the approver on the leave entry. This is recorded for audit purposes so there is always a clear record of who confirmed the leave.
