We're rolling out a new Time Off experience in your Remote People platform. This is being released gradually to clients in phases, so you may see it before or after other organizations.
A redesigned Time Off page: a clearer view of requests, balances, and your team calendar, all in one place.
A new request flow: submitting, reviewing, and approving leave is simpler and shows more policy context up front.
A new leave planner: see upcoming team absences at a glance, by month or by calendar combination.
A refreshed public holidays section: see holidays by country and who they apply to, all in one view.
Leave policies now follow statutory and collective bargaining rules more precisely:
Some countries set conditions on when specific leave types can be used; for example, in Colombia, vacation can only be taken after one year of service. Where this applies, an employee may see a request restricted even if their balance shows available days.
In countries where leave entitlement varies by region (for example, India and China), policies apply the country-wide minimum entitlement.
In countries where we operate under a collective bargaining agreement (currently France, Italy, Spain, and Brazil), vacation policies reflect the CBA terms where they're more generous than the statutory minimum, rather than the law alone.
All statutory leave types for an employee's country are now visible in the system (for example, both maternity and paternity leave appear regardless of the employee's gender), matching local law. This means you may occasionally need to confirm eligibility and decline a request that doesn't apply.
Some leave types now require supporting documentation at the time of request (for example, adoption leave), in line with statutory requirements in the relevant country.
What it looks like (employer view)
Requests: review and approve time-off requests, with context like notice and attachments, plus a quick view of who's out today and coming up:
Planner: see the full year at a glance, filter by country or person, and spot overlaps before they become a problem:
Public holidays: holidays by country and calendar, with a quick view of who's affected:
What stays the same
Your employees' existing leave balances carry over: no action needed on your part to prepare for the change.
Historical leave requests and records remain available for reference.
Existing HRIS integrations continue to work as before; leave types are automatically mapped to the new system.
Exception: if you integrate directly with our API (rather than through a supported HRIS), your integration may need updates due to underlying data model changes. If this applies to you, your account team will reach out separately.
What's coming soon (not yet in this release)
Self-service cancellation and editing of leave requests directly in the platform.
Leave counted in hours.
Entitlement that increases automatically with length of service, where local law requires it.
Leave improvements for part-time employees, including their balance amounts.
Wider public holiday coverage.
Why we're making this change
Remote People is investing in a new leave engine designed to:
Keep leave compliant by default: every policy is built on statutory (and, where applicable, collective bargaining) templates for each country, reducing the risk of miscalculated entitlements.
Make balances more trustworthy: every balance change is now tracked as an auditable transaction, so it can be reconstructed and explained at any point in time.
Reduce back-and-forth: clearer policy details and request flows mean fewer support tickets and faster answers when you have a leave question.
Frequently asked questions
The basics
When does it go live?
When does it go live?
Each organization switches on its own date as part of a gradual rollout, so you may see the new experience before or after other companies. We'll let you know before your organization moves.
Do we need to do anything to prepare?
Do we need to do anything to prepare?
No setup is needed. Balances, past requests, approval flows and attachments move over automatically. We do suggest employees check their balance now and plan the rest of this year's time off early, since requests usually peak in November and December, when approvals take longer and unused days are harder to fit in.
Will balances change when we move to the new Time Off experience?
Will balances change when we move to the new Time Off experience?
No. The balance shown just before the new release becomes the opening balance in the new system, exactly as it was. Until the next leave cycle starts, a balance only changes when leave is approved, cancelled or rejected, or when a manual adjustment is made. Pending requests are held against the available balance and returned if the request is cancelled.
Why does balance history start on the switch date?
Why does balance history start on the switch date?
The previous system didn't keep a record of individual grants, accruals or carryover, so history starts with the opening balance on the switch date, with every change after that listed with its date and reason. Past leave requests are still available.
Accrual, carryover and entitlement
When do the new accrual and carryover rules start?
When do the new accrual and carryover rules start?
At the start of each policy's next leave cycle. Most vacation policies follow the calendar year; some run from the employee's contract anniversary or a different month, so the date can vary by policy. When the new cycle starts: the current cycle closes, unused days carry over according to the policy (including any limit or expiry date), the new year's entitlement is added, and accrual starts where the policy grants days over the year instead of all at once.
Could carryover work differently from before?
Could carryover work differently from before?
In some cases, yes. Carryover now follows each policy's rules, which come from local law or the employment contract. If a policy limits carryover to a set number of days, unused days above that limit won't move into the next cycle, and where carried-over days have an expiry date, they're used first when booking time off. The simplest way to avoid losing days is to plan and book remaining leave before the end of the cycle.
The contract gives more vacation days than the legal minimum — which applies?
The contract gives more vacation days than the legal minimum — which applies?
When the new cycle starts, vacation entitlement is based on the number of days in the employment contract, including any amendments. The country minimum is used only where a contract doesn't state a number. The number of vacation days employees receive each year isn't changing.
How are new hires handled?
How are new hires handled?
Employees who start after your organization switches are set up on the new engine from their first day. Their first-year entitlement is calculated from their start date under the country policy, including proration where the policy applies it.
Why does an employee have two policies for the same leave type?
Why does an employee have two policies for the same leave type?
Employees receive every policy that applies to them: the country's statutory policy and any additional policy your organization offers. When both cover the same leave type, both appear with their own balance and rules, and the employee can book against either. This is expected.
What if a balance looks wrong?
What if a balance looks wrong?
Contact Support or your Customer Success Manager with the employee's name, the policy name and the balance you expected. Every balance can now be traced entry by entry, so we can show what makes it up and, if something needs correcting, record an adjustment with an effective date.
Leave types and policies
Why do leave names look different?
Why do leave names look different?
Leave now appears under policy names set for each country or organization instead of generic leave types. Around 130 older leave types have been consolidated into a standard list of 34, so some names have changed, though balances moved with them. For example, Annual Leave, PTO and Summer/Winter Leave are now Vacation; Compassionate Leave and Death of Relatives are now Bereavement leave; Casual Leave, Wellbeing Leave and Birthday Off are now Personal leave; Overtime Leave, Off in Lieu and Compensation Holiday are now Compensatory leave (TOIL); Carer's Leave and Care Leave are now Family responsibility leave; and Antenatal Care Leave and Miscarriage Leave are now Pregnancy leave.
Why are leave types listed that don't apply to everyone?
Why are leave types listed that don't apply to everyone?
Every statutory leave type for the employee's country is now listed, as local law defines them — for example, maternity and paternity leave both appear regardless of the employee's gender. Managers may occasionally need to check eligibility and decline a request that doesn't apply.
Why do some requests need a document?
Why do some requests need a document?
Some leave types require supporting documents at the time of the request, in line with local rules — adoption leave is one example. The request form shows what's needed before you submit.
Why is some leave counted in calendar days or weeks?
Why is some leave counted in calendar days or weeks?
The engine uses the unit set for each policy: working days, calendar days or weeks. Some countries count vacation in calendar days, and longer leave such as maternity is often counted in weeks. Leave in hours isn't available yet.
Can we set up or change policies ourselves?
Can we set up or change policies ourselves?
Our team configures policies for you. Contact your Customer Success Manager to give extra days to all or some employees, add a company policy or benefit (such as wellbeing days or a birthday day off), or change one employee's entitlement. A permanent change to an employee's yearly vacation entitlement may need a contract amendment; one-off bonus days don't, and they expire at the end of the leave cycle.
An employee has days available but can't request leave. Why?
An employee has days available but can't request leave. Why?
Some countries require a minimum period of service before certain leave can be used — in Colombia, for example, vacation can generally be taken only after one year of service. The balance still shows days earned, but requests are blocked until the requirement is met. A policy can also set other request rules, such as a minimum notice period or a maximum request length; the request form shows them.
Can we let employees use leave before the waiting period ends?
Can we let employees use leave before the waiting period ends?
Often, yes. Contact us and we'll check whether local law allows it, then set it up for your organization.
Requests, approvals and payroll
Has the approval process changed?
Has the approval process changed?
No. Existing approval flows and approvers moved over unchanged. Approvers now review requests on the new Time Off page, which also shows the notice given, any attachments, and who else is out.
How do I request leave?
How do I request leave?
Go to the Time Off page, choose the policy, select your dates, add a document if the policy asks for one, and submit. The form shows your available balance and the policy's rules before you submit.
Can a request be cancelled or changed?
Can a request be cancelled or changed?
Self-service cancellation and editing are coming soon. Until then, contact Support and we'll update the request and the balance for you. Once approved leave has been sent to payroll for the month, a change also needs a payroll correction, so let us know as early as possible.
Will we get email notifications about requests?
Will we get email notifications about requests?
You can always see the status of every request on the Time Off page. Email notifications for new requests, approvals and rejections are being switched on for the new Time Off experience shortly after launch.
Where did the Calendar tab and the Leave tab on employee profiles go?
Where did the Calendar tab and the Leave tab on employee profiles go?
Team leave now lives on the Time Off page. Use the Planner for a calendar view of who's out, and Public holidays for holidays by country. Leave details on employee profiles will return in an upcoming update.
Does this work for Global Payroll employees?
Does this work for Global Payroll employees?
Yes. Global Payroll employees request leave on the platform the same way as EOR employees, and you can approve or reject their requests.
Does approved leave still go to payroll?
Does approved leave still go to payroll?
Yes. Approved leave appears in the monthly payroll change log as before, now with the policy name and the amount in the policy's unit.
Will our HRIS integration keep working?
Will our HRIS integration keep working?
Yes, supported HRIS integrations keep working, and leave types are mapped automatically. If you connect directly to our API instead of through a supported HRIS, your integration may need updates because the underlying data changed — your account team will contact you if this applies.
