Billing Review: Checking and Approving Your Invoices

Billing Review gives you the chance to check your monthly invoices and approve them before any payment request is issued. Instead of invoices flowing straight through to a payment request, you now have a review step where you can confirm everything looks correct, or flag anything that doesn't, before it becomes a Payment Notice.

Who is this for?

Billing Review is available to your account's Client Admin: the person responsible for reviewing and approving monthly invoices on your account.

This feature currently applies to invoices for employees hired through Employer of Record (EOR) service. It doesn't yet cover contractor invoices, Deposit Notes, or SI invoices: if your account only includes contractors, this feature won't appear for you at this time.

Billing Review is being made available on a phased basis. If you don’t see the Billing Review option in your account, it means the feature isn’t currently enabled for your users. Please reach out to Remote People Support to learn more about availability for your account.

How to review your invoices

  1. Open Billing Review and select the billing group you'd like to review.

  2. Review the employee list. You'll see each employee with a breakdown of their charges, including income, expenses, employer costs, benefits, and fees.
    You can review each Billing Group separately.

  3. Check individual details, if needed. Open the three-dot menu next to an employee's name and select Review Details to see the full breakdown, including gross pay, allowances, non-recurring income, expense claims, employer burden, financial charges, benefits, and fees.

  4. View monthly and yearly figures. Click on an employee's name to open a side panel showing their monthly and yearly totals, with an option to download a CSV of their cost breakdown.

  5. Raise a query on any invoice that needs checking (see steps below), or leave it as is if everything looks correct.

  6. Confirm the billing group. Before submitting, you'll see a summary of anything you've queried. You can undo (revert) a query at this stage if needed.

  7. Submit your review. Approved invoices are combined into a single Payment Notice; any queried invoices are held back and handled separately.

How to raise a query

  1. Open Review Details for the invoice you want to flag.

  2. Select Send a query.

  3. Choose a category for the query. For example, incorrect salary, unexpected increase, missing expenses, employee off-boarded, employee on leave, bonus adjustment, tax/contribution query, or query on fees.

  4. Enter a reason describing the issue.

  5. Submit the query. The invoice is now held back from the Payment Notice while the rest of the billing group proceeds as normal. You can still undo this query up until you submit your full review (step 6 above). Our support team will follow up with you on the query directly.

What happens after you approve

Once you confirm your billing group, your approved invoices are combined into a single Payment Notice showing the full invoice list, individual and total amounts, the due date, and who approved it. This is sent by email to your accounts payable contact, with the approver copied in. If no accounts payable contact is set up, it will be sent to your main account admin instead.

If you don't review in time

To make sure payments are never delayed, invoices that haven't been reviewed will automatically generate a Payment Notice a few days ahead of the due date (five days by default). Reviewing promptly gives you the best opportunity to catch and query anything before it's billed.

Viewing your history

  1. Go to the History tab to see your approved invoices.

  2. Download individual employee invoices, or download all Payment Notices and invoices for a billing group at once.

  3. Employee cost breakdowns are also available as a CSV download.
