Understanding the Transaction Report

Explains what the Transaction Report shows, where to find it, and how to filter and export it.

The Transaction Report gives you a row-level view of every payroll transaction across a time period you choose, built for reconciliation, audit, and mapping payroll to your own accounting system.

What it shows

Each row in the report is a single transaction: one pay element, applied to one employee, in one payroll period. For example, an employee's salary, bonus, income tax, and any benefits each appear as their own row rather than being combined into a single total.

The report includes the following fields for each transaction:

Field

Description

Employee ID

Unique identifier for the employee

First Name / Last Name

Employee name

Element

The pay element name (e.g. Salary, Tax)

Period

The payroll period or cycle the transaction belongs to

Local Value

The amount, in payroll currency

Currency

The payroll currency

GL Code

The general ledger code mapped from the pay element

Debit Code / Credit Code

The GL debit and credit accounts for the element

Where to find it

Go to the Reports module and select Transaction Report.

Filtering and time range

You can filter the report by payroll, entity, payroll cycle, employee, element, and GL code. You can also choose the time range: a single payroll period, multiple periods, or a custom date range, useful for reconciling across months or pulling data for an audit.

Exporting

The report can be exported as CSV or XLSX for use outside the platform, in addition to viewing it as a table in the platform.

GL codes reflect what was applied at the time payroll was processed. If a pay element's GL code changes later, historical reports aren't affected retroactively.
