A1 Certificate for Spain-based employees

How Spain-based employees request an A1 Certificate when travelling abroad for work, including the mandatory TA.300 form, submission deadlines, processing times, and what to expect.

This article covers the Spain-specific A1 Certificate process, including the mandatory TA.300 form. For a general overview of A1 Certificates across all EU countries, see A1 Certificate for EU-Based Employees.

If you are based in Spain and travelling to another EU/EEA country for work, you are required to obtain an A1 Certificate. This document confirms that you remain covered by Spanish Social Security during your time abroad, so you are not subject to double social security contributions in the destination country.

This article covers the full process for Spain-based employees: from submitting the required TA.300 form to what happens once Remote People files it with the Spanish authorities.

Important: The TA.300 filing is mandatory for any Spain-based employee travelling abroad for work, regardless of whether you are also applying for the 7P tax exemption. Both processes begin with the same form and the same deadline. (TA.300 Template attached at the bottom of this article).

If you are also looking to claim the Spain 7P income tax exemption for days worked abroad, see Spain 7P Tax Benefit (Article 7p Exemption) for the full eligibility criteria, calculation method, and post-trip requirements.

When is an A1 Certificate required?

An A1 Certificate is required for every cross-border work-related activity to another EU/EEA country, including short business trips. There is no minimum duration, even a single-day trip for a meeting requires one.

Step 1 - Notify Remote People before your trip

You must inform the Remote People Support team at least two weeks before your travel date. If your trip falls at the start of a month, notify Support no later than the 16th of the preceding month to allow sufficient time to file the required paperwork with the Spanish authorities.

Important: Failing to notify Support within this window means the TA.300 cannot be filed on time. Late filings require a formal justification letter to the authorities, who may refuse the request. If a claim is denied, the employer bears legal liability for any unpaid contributions and associated penalties.

Step 2 - Complete and submit the PLANTILLA TA300 form

You must complete the PLANTILLA TA300 form and send it to the Remote People Support team.

The form cannot be processed without all three of the following:

  • The specific dates you will work abroad (e.g. "I will work in Germany on March 18, 19 and April 17, 18, 19")

  • The country where the work will be performed

  • Email confirmation from your client or employer approving the trip. This also serves as authorization for the associated administrative fee.

Step 3 - Remote People processes your request

Once your completed form and supporting documentation are received, Remote People will:

  1. File the TA300 form with Spanish Social Security

  2. Request your A1 Certificate, confirming you remain under Spanish Social Security coverage during your displacement abroad

Processing times

Processing times depend on the local Social Security office and can take up to 4 weeks in some cases. This timeline is outside Remote People's control. Submit your request as early as possible to avoid delays affecting your trip or payroll.

What to expect after filing

  • The A1 Certificate is an official regulatory document held on file by Remote People; it is not shared with employees directly

  • You do not need to carry or present the certificate yourself; Remote People holds it on your behalf

  • If you are also applying for the Spain 7P tax exemption, the exemption can only be applied to your payroll once the A1 Certificate has been issued

What if the A1 Certificate is not issued before payroll?

If the A1 Certificate is not issued before payroll processing, the 7P exemption cannot be applied for that month. You may still be able to claim the exemption when filing your annual income tax return (Declaración de la Renta), which may result in a refund of overpaid taxes. Remote People is not involved in individual annual tax returns. You must consult a personal tax adviser for guidance on this process.

In such cases, Remote People can issue a Certificate of Employment detailing the travel dates not exempted during the year, which you can use to support your personal tax filing.
